You’ve entrusted someone else to take over your online marketing efforts and then suddenly they disappear.  You know the “Why” meaning you know why it is important to perform certain activities but haven’t a clue “How” to execute them.  sales compensationYour “How” could be someone who you have hired as an intern, marketing specialist, or virtual assistant.  Whether you pay them by the hour (not suggested) or by the project (suggested) then it is up to you to find someone who can adequately replace them with someone you can trust and perform at an equal or higher standard.

I mean that they simply don’t show up, don’t return emails, and don’t call back what are you going to do?

What happens to your company when your “How” goes AWOL?

Here’s the dilemma.

You’ve entrusted him/her with:

  • All passwords for the social media profiles
  • Intellectual property
  • A shared calendar that links to live web pages
  • The password to the blog design and settings
  • Online documents that clients have access to anytime

Your “How” now has the opportunity take advantage of the situation.  Whether they were mistreated, unethical, or remain absent the fact remains your company faces a potential liability if there aren’t some safeguards in place.

Preserve your online marketing by:

Track all of your passwords

Create a social media profile tracker page which is a Microsoft Excel Spreadsheet  that lists each site, login, email address, password, profile URL and change all passwords when the guard changes.

If your passwords aren’t safe then is your company safe?

Systematize everything

As an owner/manager you may not have a clue how marketing specialist performs each activity but I guarantee the specialist will.  Systematize your social media communication by creating best practices for editing blog posts, uploading YouTube videos, email marketing, etc.  Have your current marketing assistant or new hire create their job description based on what you want done and list all of their activities step by step in document.  If you don’t know what to delegate then read books, listen to podcasts, and participate in webinars to find out what you don’t know to assign them to those who can help you.

Is your system re-assignable for someone else to take over?

Non-disclosure agreement

I’m no attorney so I can’t give you language to put in your non-disclosure agreement but I can tell you that it is foolish not to have one.  The marketing specialist position is unique within a real estate company because they know the salable services better than anyone and how they are communicated to the public.  Have an attorney draft one and make them sign on the dotted line not to disclose passwords, procedures, and any other company secrets that if release to another party would put your organization at risk.

Have you affirmed your employee secrecy in writing?
